Corporate Polo Shirt Size Collection: A Bulk Order Checklist

Collecting polo shirt sizes is easier when every person chooses from the same model, size chart and  order version. For Singapore teams ordering uniforms or event wear, this checklist turns individual choices into a supplier-ready size breakdown.

Still choosing fabric or branding? Start with our corporate polo buying guide. This article focuses on collecting, checking and approving the quantities.

1. Fix the model before asking for sizes

Record the exact product name or reference, colour and cut, then request its current size chart. Do not circulate a generic S–XXL list first: the same size label can differ between models, brands and cuts. If two styles are being ordered, give each its own chart and separate order lines.

  • Confirm which sizes and colours can be supplied for the intended quantity.
  • Check whether the chart describes body measurements or finished-garment measurements.
  • Keep the measurement units and chart version visible.
  • Ask how measurements are taken and what manufacturing tolerance applies.

Do not promise an unavailable size, substitute another model or combine different cuts under one size code without checking with the wearer and supplier.

2. Use a sample fitting where practical

Ask about sample availability, any charges and return arrangements. Let staff assess the intended model for movement, length and preferred fit. A sample in another fabric or cut is not a reliable substitute for the selected polo.

If samples are unavailable, provide the supplier’s measurement instructions. Where the chart uses garment measurements, staff can compare a well-fitting polo laid flat using the same measuring points. Do not compare a flat chest width directly with a body circumference. Ask for clarification rather than automatically doubling or converting numbers from an unclear chart.

Record the wearer’s confirmed size, not assumptions based on job role, height or a previous brand. Any wash test should follow the sample’s care label and be agreed with the supplier.

3. Copy this size-collection template

Use one controlled sheet with a named coordinator and response deadline. Share the approved chart alongside it. Keep individual responses internal; the supplier normally needs the aggregated order breakdown, unless individual packing or personalisation is specifically required.

Field What to record
Internal wearer reference Staff reference or name for your own distribution record
Model / cut / colour Exact selection linked to the approved chart
Confirmed size Size label from that model, without translating between brands
Pieces per wearer Actual allocation, which may be more than one shirt
Confirmation Wearer confirmation date and unresolved fit questions
Distribution group Office, team or delivery group if relevant

Keep special fit questions in a separate follow-up list. An unanswered response is pending, not automatically “M”. If names are to be embroidered, approve the spelling and its mapping to the correct size separately.

4. Reconcile people, shirts and spare stock

Count garments rather than headcount alone. The following is illustrative arithmetic, not a recommended size ratio or minimum order:

40 wearers × 2 polos = 80 allocated shirts. Adding 4 approved spare shirts gives an order of 84. Assign those four spares to specific model, colour and size lines before approval. A note saying “four assorted spares” leaves the order incomplete.

Choose spare sizes from actual team needs and agreed replacement plans. Do not apply an invented standard percentage or a generic S/M/L distribution. Confirm any minimums by model, colour or decoration with AbrandZ.

Order line Allocated Spare Total
Model A / navy / chosen cut / M 20 1 21
Other confirmed size lines 60 3 63
Illustrative order total 80 4 84

5. Approve one final order version

  • Resolve missing responses and check for duplicate submissions.
  • Reconcile size-line totals with staff allocations and approved spares.
  • Keep different models, colours and cuts on separate lines.
  • Confirm logo method, positions, dimensions and artwork version; use our embroidery versus printing guide for those decisions.
  • Confirm quotation inclusions, packing groups, delivery address and required receipt date.
  • Name the approver and mark the approved sheet with a version and date.

Ask the supplier to acknowledge that exact breakdown. Confirm when changes stop being possible and how late additions would affect cost or timing. A revised spreadsheet should be clearly identified as replacing an earlier version.

6. Check delivery and retain the reorder record

On receipt, compare quantities by model, colour and size with the approved breakdown. Keep spare stock separate from named allocations and report discrepancies with the relevant order reference. Confirm the supplier’s applicable terms for fit issues, defects and decorated garments before ordering; exchanges should not be assumed.

For future hires, retain the model reference, size chart, approved artwork, quantities and order date. Recheck availability and specifications for every reorder. A familiar product name does not guarantee that a later batch or alternative model will fit identically.

Frequently asked questions

Can we reuse last year’s size list?

Use it as a starting record, then ask wearers to reconfirm against the current selected model and chart. Check staffing, allocation and fit changes before approval.

Should we order one size larger for everyone?

No blanket adjustment suits every cut or wearer. Use the model’s measurement guidance and, where possible, a fitting sample. Ask about any specific fit concern.

What should we send for a quotation?

Send the intended use, model shortlist, colour, quantities by cut and size, logo artwork and placements, budget, packing requirements, delivery location and required date. Mark provisional sizes clearly if collection is still underway.

Send your polo order brief to AbrandZ, or compare cotton and quick-dry polos before organising the fitting.

For later staff intakes or replacements, use our corporate polo reorder checklist to confirm model continuity, current size charts, artwork records and any proposed substitution.
