Preparing for an exhibition in Singapore from another country means coordinating more than flights and a booth. Your giveaways need to suit your audience, carry the right branding and reach a confirmed receiving point before they are needed.

Ordering through a Singapore supplier can reduce the international shipping you need to organise yourself. It still requires advance planning: local sourcing does not mean every product is made in Singapore or available for immediate dispatch.

1. Match the giveaway to the conversation

Start with who will receive each item. A practical giveaway for general booth visitors may have a different budget from a gift for a scheduled client meeting. Separating those audiences helps you allocate quantities without buying the same item for everyone.

Think about what recipients will carry around the venue or take home. Ask about dimensions, weight and packaging before choosing bulky or fragile items. Product availability and suitability are confirmed individually.

2. Plan quantities and a complete budget

Estimate your intended handouts per day, then add separately any gifts reserved for meetings or staff. For example, a plan for 100 handouts on each of three days means 300 giveaway items before any contingency stock. This is a planning example, not a prediction of booth traffic.

AbrandZ’s general minimum order is 50 pieces per product. Some products and customisation methods require higher quantities. Include your preferred quantity, budget currency and whether your budget is per item or for the whole order.

Ask for a quotation covering the products, branding, any requested packaging, delivery and any express surcharge, with applicable charges clearly identified. If your budget is fixed, state that at the start so the shortlist can reflect it.

Identify the billing company, requested quotation currency and any purchase-order requirements. Ask the quotation to distinguish product cost, branding, samples, packing, local delivery and applicable taxes. Confirm payment instructions and approval steps with the supplier; do not assume a foreign billing address changes which charges apply.

3. Work backwards from your receiving date

Your receiving date should account for time to check and distribute the items before the event. Share both the event date and the date you need the goods in hand.

Typical production takes 2 weeks after artwork approval and confirmation of your order and required payment. Some products, quantities or customisation methods take longer; your quotation will confirm the schedule. Allow additional time beforehand for selecting products, reviewing the quote and approving artwork.

Express production within 3 days is available at a surcharge for selected products, subject to stock, branding requirements and production capacity. Confirm availability before ordering. Production timing excludes delivery, so a three-day production option is not a promise of delivery within three days.

4. Approve your artwork remotely

Send your logo file, preferred print colours and any placement requirements. Ask which artwork format is suitable for the chosen product and branding method.

Before approving the artwork, check the logo version, spelling, print size, placement and colours. Nominate one person to consolidate feedback, especially if your marketing and procurement teams are in different time zones. Physical samples, where requested, need separate timing and cost confirmation.

Put approval deadlines in writing with the time zone stated. Keep one final artwork version and one decision-maker for changes. Ask whether a digital proof, production photo or physical sample is available and what each can demonstrate. A digital layout shows positioning; it does not establish the actual colour, feel or finish of the delivered product.

5. Confirm who can receive the goods in Singapore

Discuss delivery to an office, hotel, booth builder or event venue. Get the recipient’s agreement before using their address. A hotel or venue may have specific receiving arrangements; do not assume a parcel can simply be left at reception or your booth.

  • Provide the full address and a named receiving contact with a reachable phone number.
  • For venue delivery, include the hall and booth number, permitted delivery window and any delivery-pass instructions.
  • Confirm who will check carton quantities and store the items until your team arrives.
  • Agree delivery charges and any special handling in the quotation.

No receiving route is automatic. Confirm the arrangement with both the receiving party and supplier. A delivery address alone does not establish access, storage or acceptance.

6. Agree allocation and a backup contact

Request carton labels by product, day or recipient group where useful, and confirm any extra packing cost. Ask the local contact to check carton counts and visible condition on arrival, and agree how discrepancies should be reported. Keep meeting gifts or staff items distinguishable from general booth handouts.

Give the supplier a reachable primary and backup contact for the delivery window. If the booth or hotel details change, obtain confirmation of the revised arrangement before dispatch. Ask what options and charges would apply if receipt fails; do not assume redelivery, storage or after-hours service is included.

Decide who will manage unused stock after the exhibition. Any storage, onward shipping or return arrangement needs separate confirmation. Avoid planning an international shipment around an assumed service.

For a useful first quotation, send:

  • Company name, buyer country and contact email.
  • Event name, event dates and required receiving date.
  • Preferred products, quantities and budget with currency.
  • Logo and branding requirements.
  • Delivery location, receiving contact and any venue restrictions you already know.

If something is still being planned, say “not yet confirmed”. The team can identify which details are needed before the order proceeds.

Overseas exhibitor ordering FAQs

Does local sourcing mean the products are made in Singapore?

No. Sourcing through a Singapore supplier does not establish country of manufacture or immediate local stock. Confirm origin and availability if either matters to your order.

Can the goods arrive before our team does?

Discuss this with the supplier and a receiving party who has agreed to accept and store them. Provide the contact, delivery window and handover instructions before dispatch.

Is express production the same as delivery within three days?

No. The stated express option applies to selected products and production only, subject to confirmation and a surcharge. Ask for a schedule covering production and delivery to your agreed receiving point.

What if our booth number is not confirmed yet?

Mark it as pending in the initial enquiry. Agree when final delivery details are required and confirm an acceptable receiving plan before dispatch.

Can products or artwork change after approval?

Ask the supplier to confirm feasibility, cost and timing before making a change. Keep the final approved product and artwork records together.
